Overview
The Copilot feature lets you grant full access to a travel purchasing card to someone other than the original cardholder. A copilot can view sensitive card details, manage card settings, and make transactions—just like the primary cardholder.
Access is limited to specific, controlled scenarios to maintain security. All copilot activity is tracked with detailed audit logs for full traceability.
Note: This feature is only available for travel purchasing cards and must be activated by an owner or admin via the Modules page.
What can a copilot do?
Once assigned, copilots will see the card in a dedicated "Copilot" tab within the cardholder app. From there, they can claim the card and become its effective cardholder.
This action is recorded in the card’s history for transparency and accountability.
The original cardholder automatically becomes a copilot as well, ensuring they can re-claim the card at any time.
In addition, copilots will see all transactions made with the cards for which they are assigned as copilot in a separate "Copilot" tab in the Transactions page. Copilots will have read-only access to these transactions, unless they have owner, admin, accountant, or manager permissions. In addition, if a copilot claims a card and makes a transaction, he will have edit rights to that transaction even if the card is then claimed by another copilot.
Who can assign copilots?
Owners and Admins can assign any organization member as a copilot.
Managers can assign copilots only from the teams they manage.
Copilots can be assigned:
When creating a new card
Or after a card has already been issued
Note: Copilots cannot be assigned when requesting a card.
Who can become a copilot?
Any member of the organization, regardless of role—including cardholders without any special additional permissions.
An entire team can also be assigned as a copilot. Note that managers can only assign one of their own teams as copilot.
For example, if your customer support team needs shared access to a card, assigning the team as a copilot ensures all current and future team members have access.
If someone is assigned as a copilot both individually and as part of a team, their access continues even if they’re later removed from the team—because the individual assignment remains valid.
