How to Create and Manage Card Templates

Overview

Card Templates let you predefine reusable card configurations — spend limits, card controls, validity, and more — so you can issue new cards in just a few clicks. Instead of configuring the same settings every time, your team picks a template and the fields are pre-filled automatically.

Perfect for organizations that:

  • Issue many cards with similar settings (e.g., employee benefits, travel, vendor payments)

  • Want to enforce consistent spend policies across teams

  • Need to scale card issuance without sacrificing control

Setting up Card Templates

Step 1: Activate the Card Templates module in Settings > Modules

Owners and Admins can activate this module if it is available. Once the module is activated, you'll find Card Templates in Settings above Card Approval Policy.

💡 Good to know: Every organization automatically receives a set of default templates - e.g., Virtual and Physical Standard. You can start using these immediately and cannot modify them.

Step 2: Create a New Template

  1. Click + Add Template.

  2. Follow the steps to configure the properties relevant for your use case. The steps mirror the card issuance flow and allow configuring a subset or all card properties.

  3. When you click "Create Template" in the last step, the template will be created and activated automatically and will appear in the card request flow.

💡 Tip: Leave a field empty if you want the person issuing the card to fill it in themselves. Fill it in if you want it pre-set.

Card templates are displayed in a drop-down, grouped with the other templates based on the same default card type.

Step 3: Edit or Delete Templates

To edit a template, click the "Edit" button in the menu next to the template.

To delete a template - and hide it from the card request flow - click the "Delete" button in the menu next to the template.

Request a Card Using a Template

Once a template is created, anyone authorized to issue cards in your organization will see it during the card request flow.

  1. Start a new card request

  2. Select a template from the dropdown (e.g., Employee Monthly Benefit)

  3. Pre-filled fields appear automatically and for now are editable. In the next iteration of this feature it will be possible to lock some fields to prevent employees from modifying them.

  4. Review and submit the card request

💡 Tip: The approval policy attached to the relevant card type will determine whether the request goes through automatically or needs sign-off.

Tips & Best Practices

💡 Name templates by use case, not by configuration. Employee Monthly Benefit tells your team what the template is for. Virtual €20 Monthly tells them what's inside - but doesn't help them pick the right one.

💡 Leave team and project blank if you want the requester to choose. Lock them only when a template is dedicated to a specific team.
