How to upload receipts? How to use the receipt inbox to automatically match receipts to transactions via email?

Pliant offers several ways to upload receipts to transactions.

Upload via Web App

Receipt files can be uploaded easily to a card transaction via the web app by clicking the "Upload missing receipt" button or dragging and dropping a receipt file into the surrounding area. This can be done by either the cardholder or any other user with access to the admin app.

Upload via Mobile App

Similarly, in the mobile cardholder app, it is possible to upload a PDF from your phone's file directory or choose a picture from the gallery. Additionally, it is also possible to take a picture of a paper receipt directly from a card transaction with the Pliant mobile app.

Auto-Upload via Receipt Inbox

The most convenient way to upload receipts for card transactions to Pliant is using the receipt inbox feature. As part of this feature, every Pliant customer organization gets a unique email address to which receipt files can be forwarded. You can find the receipt inbox email address in the header of the Pliant web app.

Once a file has been sent to this email address, Pliant will attempt to automatically match and attach it to the correct transactions. The receipts must be in *jpg, *png, or *pdf format and must be up to 5MB in size.

The matching usually completes within a few minutes but can take up to 48h. In case a receipt could not be matched to a transaction, the sender will be notified via email.

Once a receipt has been matched with and added to a transaction, a little blue triangle in the top right corner of the receipt section will indicate that the receipt was automatically added via the receipt inbox feature.

Receipt Inbox

The Receipt Inbox, accessible via the top bar in the Pliant App, allows you to view and manage all receipts sent to the Receipt Inbox. The interface is organised into three tabs:

There are three tabs:

  1. Unmatched: This tab lists receipt files that our matching algorithm couldn’t automatically pair with a transaction. To manually match a receipt, simply select it and click the "Match" button. Additionally, you can directly select a receipt from the Unmatched tab while viewing the transaction details. Just choose "Add from Inbox."

  2. Matched: This tab displays all receipts that have been successfully matched with transactions. If an automatic match is incorrect, you can easily unmatch the receipt, which will then be moved back to the Unmatched section.

  3. Trash: This tab contains files that are either not valid receipts or are unlikely to be related to transactions made with a Pliant card. Files in the Trash are permanently deleted after 60 days.

Important: For security and data protection, you can only view receipts if the sender's email address matches your username in Pliant. Please also note that deleting files from the Trash cannot be undone.
